Apostille stamps in Poland can be obtained to authenticate official Polish documents including Birth, Death and Marriage Certificates, National Criminal Register Certificates (criminal record), university diplomas and degree transcripts, and copies from the National Court Register (commercial extracts).

Polish Apostille stamps are issued by the Ministry of Foreign Affairs, Polish National Agency for Academic Exchange (NAWA) and Ministry of National Education.

Documents needed for submission in non-apostille countries are legalized by the Ministry of Foreign Affairs and require additional attestation by the embassy of the recipient country in Warsaw.

  • Apostille Polish birth, death and marriage certificates

    Civil Status Records

    Apostille Polish birth, death and marriage certificates. The certificate must be issued by the Registry Office, have a round seal of the office, a name stamp of the clerk and a signature. A photocopy or printout from the EPUAP platform is not valid for an Apostille.

    Apostille National Criminal Register Certificates showing an absence of a criminal record in Poland. Original certificates are required.
  • Apostille Polish university diplomas, degrees and school certificates.

    University and School Certificates

    Higher Education Certificates: Apostilles for Polish university diplomas and other higher education documents, such as student status certificates, diploma supplements and transcripts issued before 2005, are issued by the Polish National Agency for Academic Exchange (NAWA). Degrees requiring authentication for non-apostille countries, such as Qatar and the United Arab Emirates, will need additional legalization by the Polish Ministry of Foreign Affairs before they can be attested by the recipient embassy in Warsaw.
    School certificates and diplomas: Apostilles on Polish school certificates, secondary school-leaving certificates, diplomas and certificates issued by regional examination boards are issued by the Ministry of National Education or Regional Examination Board.
  • Notarized Documents

    Apostille documents that have been notarized in Poland, including affidavits and powers of attorney. Before an apostille can be obtained, the notary's signature must be certified by the local district court.

Apostille Certification

An Apostille Stamp is a simplified procedure of international attestation. When affixed to documents, Apostilles are directly recognised by the authorities of over 120 countries (Signatories of the Hague Convention Abolishing the Requirement of Legalisation for Foreign Public Documents Hague Apostille ConventionExternal link (opens in new tab)) as certifying the document’s validity, without requiring additional certification.

Consular Legalization
Consular Legalization is required when a document from Poland is to be used in a non-signatory country. In this case, following authentication by authorities in Poland, the document must be certified a second time in Poland by the embassy representing the country where the document is to be used.

European Union

Submission within the European Union
Certain Polish documents do not require Apostilles when they are presented to authorities of other European Union countries (the receiving authority should accept the original or a certified copy).

When applying for certain public documents, a multilingual standard form may be requested to accompany the original. A multilingual standard form must always be issued and signed by a Polish authority, providing a translation aid designed to help the receiving authority to understand a public document which is in a language not accepted by the receiving EU country.

Other Polish documents, including academic certificates, still require Apostille certification and certified translation to be valid in other EU countries.

Civil status certificates (multilingual extracts from the civil status registers)
Polish birth, marriage and death certificates) issued in accordance with the conventions of the International Commission on Civil and Civil Status should not require Apostille Stamps when being submitted to one of the following countries:

Austria, Belgium, Bosnia & Herzegovina, Bulgaria, Croatia, Cape Verde, Estonia, France, Germany, Italy, Lithuania, Luxembourg, Moldova, Montenegro, Netherlands, Romania, Serbia, Slovenia, Spain, Switzerland, Turkey.

Certified Translation

Where Polish documents are to be used abroad and where the receiving country has a different official language, certified translation may also be required. Isarey takes care of any certified translations required as part of the document attestation process, ensuring that translations are carried out and certified in accordance with local regulations.

Note that a certified translation on its own only provides assurance that the translation itself is accurate and true; it does not confirm the authenticity of the original document. The original document must be legalized for a certified translation to carry equivalent legal weight.

Certificates are available only to the person named in the certificate, spouse, descendants, parents and siblings, although applications may be made by an authorized representative. Copies of civil status records are available as digital and paper certificates, in Abbreviated and Complete form. A complete copy contains more information and is an exact reproduction of the original record with the addition of subsequent amendments and additions. Abbreviated copies are available as Multilingual Certificates, but in paper form only.

Criminal Record certificate from Poland can be obtained electronically (e-Platform MSExternal link (opens in new tab) - electronic signature required), in person or by post. A power of attorney can be granted (in Polish) allowing someone to apply on your behalf. Certificates are issued in Polish but a multilingual standard form is available for submission in other EU countries.
